Scaling Your Business Starts Here: How to Organize, Systemize, and Step Into Sustainable Growth

One thing business school didn’t teach me? How to actually start, run, and organize a business. That’s why I’ve been on a continuous journey of learning—reading books, listening to podcasts, and surrounding myself with mentors.

One book that truly revolutionized my operations was Scale by Jeff Hoffman and David Finkel. It made me realize that while I had built something strong with Jumptwist, LLC, I was still operating at a Level 2 business. I was the glue. If I stepped away, everything fell apart. But my vision was bigger than that—I wanted to scale, sell, or step back and let the machine run without me.

Today, I’m proud to say I’ve reached Level 3. That means the business no longer depends solely on me. It runs on systems, not just people.

Rewinding the Story

In the early days, even when Jumptwist started gaining traction, I didn’t have much structure. I hired my first assistant—a high school student—and was thrilled just to have someone helping out. Back then, our office was a tiny 9x10 space with a fridge stacked on a shelf and a Keurig on top of that. (As someone who’s barely five feet tall, making coffee was a feat!)

Eventually, I expanded the team and the space, but I still didn’t stop to think about roles, responsibilities, or job descriptions. Everyone just chipped in on my to-do list.

The Turning Point

The business continued to grow—and grow fast. But I realized that more output doesn’t mean better structure. I re-read Scale, and this time, I was ready to apply what I learned.

Even as a small business, you need to systemize your operations. If you want to scale, prepare for success now. There was a point where I had no cash to invest in growth—but I had time. So I spent that time planning. I studied other businesses, researched my industry, outlined every system I’d need so when the resources came, I could hit the ground running.

Organizing with Project Management Software

This was a game-changer.

I transitioned my entire business over to a project management platform—I currently use ProofHub, but there are many great options like Wrike, Trello, or ClickUp. These tools let you:

  • Create projects, tasks, subtasks, and deadlines
  • Attach files, SOPs, training videos
  • Assign responsibilities to different team members
  • Track time, progress, and communication

Before using software like this, my operation was scattered across sticky notes and notebooks. My team couldn’t function unless I personally explained every step. Now? Everything is documented, centralized, and scalable.

Specific Features That Made a Difference

One of my favorite tricks? I record screen-share videos to train new staff. That way, I only have to explain a process once—and it lives in the system forever. These small things save hours of time and mental energy.

Progress Over Perfection

If you’re overwhelmed, I get it. Starting to document your entire business might sound like another massive task, but it doesn’t have to be. Add folders and projects one day at a time. Build your systems while you run the business.

Over the last year, I’ve watched my digital “business brain” grow with folders, files, and processes that I couldn’t have imagined a year prior. The beauty is that it evolves with your company.

Getting organized with project management software has made me a better leader, business owner, and mentor. And now that I’m operating as a Level 3 business, I finally have the freedom to think bigger.
